Prerequisites

Prerequisites

Small businesses and individual entrepreneurs couldn't obtain an invoice without involving a company manager. Each request was manually processed by a manager: they responded to the client's inquiry, filled out payment documents, and passed them to the accounting department. To relieve managers and accountants, the sales department proposed automating the invoice issuance process.

The development of the feature required coordination between different departments: product, sales, and accounting. Together with the product manager, I gathered data on how the accounting department handled issued invoices, studied how managers dealed with inquiries, and learned about development constraints. After aligning all the details and studying references, I designed a flow for testing the prototype.

The invoice can be used to pay for different plans as well as the purchase of additional packages, information about which is available on the pricing page. I added entry points to the scenario in the section with tariff plans and in the section with additional packages.

The step-by-step flow:

  1. User clicks on 'Pay by invoice'.

  2. The system checks if the user has an existing contract or if they want to request an invoice. If the user wants to pay by invoice, they are directed to a modal window with payment details. If they have a contract or want to create one, they can proceed to the contract creation page.

  3. At the first step of issuing the invoice, the user chooses what exactly they want to pay for and for what period.

  4. The user enters their details and submits the request. Afterwards, they receive the generated invoice via email.

  5. The manager reviews the invoice. If details need to be clarified, they contact the client, and then pass the invoice to the accounting department. After payment, the manager activates the paid services for the client in the CRM platform.

At the first step, the user can change the selected plan, choose the subscription period, and also add additional services. If the user only purchased additional services, they cannot choose a plan, as packages cannot be added without a subscription plan.

At the second step, the user fills in the necessary details for the accounting department to generate the invoice. At both steps, the user sees the final amount they need to pay.

After submission, the platform displays a modal window with further instructions.

To test the scenario, I conducted several hallway tests. During the tests, I found that some wording needed improvement. It was also necessary to refine some formulations. For example, users didn't understand the purpose of a separate step for the contract. We decided to improve this scenario in the second iteration of the feature.

Results

The developed interface significantly reduced the workload on the sales department managers and the accounting department. Further automation of the process was not required.
